Website visits

We process technical information to display and protect intramanager.com, including page requests, visit times, IP addresses and browser or device information. The production website uses Sentry for error diagnostics and Cloudflare Turnstile to protect newsletter signup.

Our basis for necessary operation and security is our legitimate interest in providing a functioning and secure website under GDPR Article 6(1)(f). Optional analytics, advertising and browser storage are explained below and in the Cookie Policy.

Enquiries and requests

When you contact us or request a demonstration, trial or whitepaper, we process the details you provide, such as your name, work email, telephone number, company, role and message. We use them to respond, arrange the requested service, prepare offers and follow up on your enquiry.

For business contacts, our basis is our legitimate interest in handling business enquiries under Article 6(1)(f). Article 6(1)(b) applies to necessary steps towards a contract where you are personally the contracting party. Requests and newsletter subscriptions are handled separately.

Product accounts and support

We process relevant account and user details, business contact information, company details, access settings, technical usage information and support correspondence to administer access to IntraManager and help you use the service. This applies during demonstrations, trials and paid subscriptions.

When we act as controller, account administration, support and security rely on our legitimate interests under Article 6(1)(f). Article 6(1)(b) applies where processing is necessary for a contract with you personally. Data we process for a customer follows the arrangement described below.

Data processed for customers

When your employer or another organisation uses IntraManager to process personal data for its own purposes, that organisation is normally the controller. IntraManager acts as processor under its documented instructions and data processing agreement, including during trials where this arrangement applies.

The organisation determines the purposes, legal bases, access and retention for that data. Contact it first about access, correction or deletion. We assist the organisation under the agreement, including with requests, return and deletion.

Customer relationships and billing

We use business contact details, correspondence and information about agreements, subscriptions and billing to manage customer relationships, deliver agreed services and meet legal obligations.

Our bases are Article 6(1)(f) for business relationship management and Article 6(1)(c) for legal obligations. Article 6(1)(b) applies to necessary processing for a contract with you personally. Accounting records are retained under applicable accounting and tax rules.

Newsletters

We send newsletters through our IntraManager application. We process your email address, subscription information and preferences, and record opens and clicks to understand engagement with newsletter content.

Newsletter sending relies on consent under Article 6(1)(a). Measurement that requires consent relies on the same legal basis. You can unsubscribe or update preferences through the links in our emails. Unsubscribing stops the newsletter you opted out of. Website cookie choices and email preferences are managed separately.

Advertising and measurement

When you allow Analytics, website analytics measures visits and interactions. When you allow Marketing, advertising platforms measure website activity and connect visits with campaigns. Measurement can involve page addresses, button interactions, campaign references, online identifiers and technical browser, network and device information.

Optional website measurement relies on your consent under Article 6(1)(a). You can change or withdraw your choice in Cookie settings. Provider identities, purposes and browser storage periods are available under Details and in the Cookie Policy.

Without optional consent, signup links can still forward validated campaign parameters from the current page address. We do not retain or retrieve a previous campaign in browser storage without an optional grant.

Where information comes from

Information comes from you, your interactions with our website and service, and our communications with you. Business contact and user information may also be provided by the organisation you represent.

We use Salesforce for leads, including Meta advertising and whitepaper enquiries. We also advertise in ChatGPT through OpenAI Ads. Enquiries and any subscription to ongoing marketing are handled as separate purposes.

Who receives information

Our staff access information where needed for their work. We use service providers for hosting and infrastructure, CRM, support, security and diagnostics, analytics and advertising, communication and administration.

Providers processing personal data on our behalf work under our instructions and a data processing agreement. Advertising platforms also process information under the terms and roles that apply to the activity. Customer data follows the subprocessor arrangements in the applicable customer agreement.

Information may be shared with authorities or advisers when needed for legal obligations or specific legal claims.

Data protection with providers

We work with providers that operate internationally. Relevant international transfers of personal data use a valid transfer mechanism, such as an applicable adequacy decision or the European Commission’s standard contractual clauses with supplementary measures where necessary.

Contact info@intramanager.com for information about relevant recipients, transfer mechanisms and safeguards, and how to obtain a copy.

Retention and deletion

We retain personal data for as long as needed for the stated purpose, then delete or anonymise it unless another lawful reason requires retention. We consider the customer relationship, completion of enquiries, legal obligations and specific legal claims.

Account information is retained while the account is active and deleted or anonymised within 90 days after deactivation. Communication data is retained for two years.

Newsletter information is retained to administer the subscription. Unsubscribing ends newsletter sending. Consent records may be kept separately where needed to document lawful sending or handle specific claims.

Retention, return and deletion of data we process on a customer’s behalf follow the customer’s instructions and the data processing agreement.

Cookies and your choices

The Cookie Policy explains the website’s cookies, local storage, measurement tools and your choices. Cookie settings controls optional website measurement. Product environments and newsletter preferences are managed separately.

Your rights

Subject to the applicable legal conditions, you can request access, correction, deletion, restriction and data portability. You can object to processing based on legitimate interests and always object to direct marketing. You can withdraw consent at any time; this does not affect earlier lawful processing.

Contact info@intramanager.com to exercise your rights. We may request the information needed to verify your identity and normally respond within one month. If a permitted extension is needed, we explain why and when you can expect a response. For data controlled by a customer, contact that organisation first.

If you believe your personal data has been processed unlawfully, you can complain to a competent data protection authority. This can be the authority where you live or work, or where the alleged infringement took place.
